AHEC meeting minutes

Wendy Lam, a GSC housing committee member, came to AHEC to observe our meeting. This committee meets every second Wednesday. Wendy is also an Ashdown resident.
- Cultural Committee Bowling Trip report (Bhaskaran):

-Six lanes have been booked for April 17th: 24 people, estimated to come. The cost will be $20/lane/hour, T-fare and shoes will be an additional cost. Lanes have been booked for 2 hours.
-Lane cost is $10/person for 2 hours.
-There is no food provided at the bowling alley (it is a very "old school" alley). Should Ashdown provide some food? Pizza?
-Typically, Ashdown funds $7.50 per person per event, but we can fund more money per person for a smaller event.
-Paying for the T does not seem to be an attendance deterrent.
-Charge deposit to ensure attendance. There will be an online signup form.
-Attendees will have the option to show up at the bowling alley (near Davis) or travel with the group
-Everyone will pay $5 plus transportation. AHEC will pay for shoes, admission and food.
- Earth Day Volunteering Event:
-There will be a clean-up somewhere near the river. Volunteering will be from 9-12. This is the Saturday after bowling, April 25.
-AHEC will pay for food to eat at volunteer site.
-Option: book sailing pavilion for post clean-up food, if possible? Contact MITNA - MIT nautical association, info on website.
-Can get help from Environmental committee for event planning.
- Ashdown GSC Rep Report- Chuck Gammal:
-As an activities committee Rep, Chuck gave the overview of the events put on by AHEC this year. The people at the meeting were very interested in the new Philosophy group, but Chuck didn't have all the answers. Terry and Ann provided some: The Philosophy club consists of Terry & Ann, 5 undergrads, 3 grads + Phoenix Housemasters. They meet in Thirsty every other Sunday, and bring over dinner from Dining Services. Current topic: Wittgenstein's book. They anticipate 6 meetings this semester. Does the group plan to continue beyond the first book? Ann and Terry have led a reading group in the past (before the move), not necessarily philosophy. The reading group is a joint group with undergrads and grads.
-The GSC elections occurred last night.
President: Alex Chan.
VP: Alex Macomber
Secretary: Chuck Gammal,
Treasurer: Nan Gu.
-unfortunately, CG must resign as AHEC representative due to his new secretary position.
- Environmental Giveaways:
-Bridget Wall found funding source that could give $1000 to Ashdown to do something for the environment.
-Some dorms lend reusable shopping bags. This is impractical as people tend to forget to check out the bags or return them. Instead gift every resident a shopping bag.
-The (bulk) cost per bag is 90 cents a bag (Dheera looked this up). Will AHEC let Bridget do this one? If not, should AHEC fund this? Next year, only get NEW residents own the bag? Give new residents as a "Welcome to Ashdown" gift. There could be a stack at the front desk for new residents. Dorm turnaround is expected to be 150 folks/year, which is less money spent on replacing the check-out items.
-Will people remember to bring them? Identity forming item?
-spent more to get it custom- made?
-care package of stuff? Plate and stuff for coffee hour?
-Companies sponsor other packaging stuff
-Ashdown plates or coffee hour mugs?
-give Bridget proposal permissions to MIT Energy initiative.
-Wendy is going to get technotrash and recycle bins.
- Single Stream Recycling
-You can put out recycling every day. If one thing in the bin is dirty the entire bin gets dumped in the trash.
-More recycling education is needed.
-Suggestion: once a term- check recycling and tells residents if the bin is getting thrown out. Residents may find this awkward.
-AHEC would like to poster doors with information about the the New Single Stream Recycling. We could print on the back on used flyers and waste paper froman Athena cluster. Once-used paper should not harm the printer.
- Website Discussion: Not urgent. Table for next meeting
- Officer Recruiting:
-The number of slots set aside for officers is problematic. Whle a larger number was suggested by housing for the first year. We cannot have more officers than S-P, which has 700 residents.
-Currently, there are 35 officers considered for next year.
-Housing needs to know who will be an officer by May 1.
-We will recruit more officers in the fall.
-We will lose a large number of officers in the spring to "continuing" status.
-Currently 1 in 8 Ashdown residents is an officer.
-S&P has 50 officers, 700 people, therefore 35 people for 500 people is approximately correct. We could maybe ask for 4 more officers.
-In the fall, officer recruiting part of housemaster dinners
-AHEC might want to have a dinner for new officers after assignments are made.
-Housing will be at coffee hour tonight to talk about regulations.
