- Ashdown orientation update
- The orientation committee attended the meeting to discuss orientation plans.
- Morgan is going to be the one sending out e-mails to the new students to inform them of the orientation events.
- Door Tags
- We need to get in touch with Dheera about the door tags.
- A new design needs to be made. At the very least, the colors should be changed.
- Unfortunately we don't know anyone other than Dheera that would be able to do it.
- Morgan needs to make it to Costco to buy food for her event.
- We need bags for the welcome gifts.
- We have 306 new students moving in, but a lot of them have already moved in.
- We are going to get little snacks for our new residents that can fit in their mail boxes as the "Welcome Gifts."
- Common space survey update
- We have 49 responses so far.
- Eva is going to send a reminder and a deadline for when the surveys need to be completed by.
- We will talk about this in 2 weeks.
- Small gatherings policies
- We are thinking about requiring large parties (more than 10 or 15 people) to have AHEC approval before hand.
- We would like to have a web form for people to fill out for those large party. The form would generate an e-mail to AHEC.
- BBQ Grill use policies
- Current policy requires 24 hours notice.
- Andrea talked to Denise about the grill use policy.
- Denise gave us the go ahead to change the policy.
- The grills are expensive. We want them to be treated nicely, and we don't want them to walk off.
- We don't have anyone that checks that the grill are clean now.
- This is more of an AHEC job than an Ashdown staff job.
- Once the fine system is implemented, we will be able to put deposits in the fine box and return them after the grills are checked.
- We need to add where you can grill to the policy. No grilling under trees or overhangs.
- Matt can laminate the grill use policy to attach to the BBQ tools.
- BBQ supplies purchases
- The current front desk tools are very worn and they have short handles.
- There is a secret kit of grilling supplies inside of the Hulsizer kitchen, but they all have short handles also.
- Matt is suggesting some new tools with longer handles.
- Matt also found some welding gloves that would be good for grilling also.
- Matt suggested a heat gun to help start the grills for big events like the 4th of July BBQ.
- Front Desk Supplies:
- We are going to create 3 kits of grilling supplies to check out with the 3 grills.
- We are going to throw away all of the current front desk supplies.
- Thirsty Ear BBQ
- The tech committee can bring out speakers for the BBQ.
- They are planning on having the grills in the far courtyard.
- Common space reservation etiquette
- The reservation etiquette that Eva wrote only covered the TV room. It needs to be modified to cover the other rooms that can be reserved.
- This has been tabled until next week.
- Volunteering incentives
- The meeting for this Sunday has been canceled.
- Ludwig is interested in sending out a survey to see why people volunteer for Brunch.
- We would like to extend this survey to cover all volunteers.
- Will fund purchases
- We have proposals for the following items:
- Trophy case
- Cocktail tables
- Photo displays
- Gym equipment
- Thirsty Ear couch
- Blu-Ray player
- Bookshelf
- We will soon have a proposal for digital picture frames.
- We are trying to keep the purchases under $5000 for this specific order.
- Fall officer recruitment
- We are going to table this for next week.
